Terms & Conditions
This is an important document explaining the terms and conditions you are agreeing to when you use The Media Collective. This agreement outlines the parameters of all services supplied by us. By accepting a quote and proceeding with a proposal you are agreeing to these terms. The Media Collective may be referred to as ‘we’, ‘us’, ‘our’ and ‘the company’. The Customer may also be referred to as ‘you’ or ‘your’.
CONTRACT PRICE
We base our stated project prices on what we think will work best for you, including recommending materials, finishes and making some assumptions from the initial design briefs on what creative is required. However, creative projects are inherently prone to unforeseen scope changes and additional costs, and we reserve the right to charge for extra costs incurred. We are committed to keeping you informed of any such changes and associated costs, which may include:
Mid-course alterations to the project scope.
Requests for additional copyrighted images.
Unexpected issues discovered during the site survey.
Restrictions on installation hours imposed by external factors.
Preparation work not completed by the client.
CONFIRMATION
Projects worth £1000 or more
Upon confirmation of your project, we will invoice 30% of the total project value. This deposit must be paid at the time of order. It will be deducted from your final balance invoice.
Projects worth up to £1000
You will receive a confirmation of order. We will invoice your project in full upon delivery.
COMPLETION SCHEDULE
We will deliver your project according to your chosen priorities: either Speed of Delivery or Quality of Outcome. Based on this, we will establish and communicate clear milestones and deadlines to ensure the project stays on track with your preferences. Your project will progress through our project Phases: Design, Production, and Delivery. The schedule we agree on will be based on your approval of the final artwork in the Design Phase. We reserve the right to delay production and delivery if this deadline is not met.
CANCELLATION
If the customer cancels contracted services within 60 days of the scheduled event, the deposit will be forfeited, covering costs for completed work. The Media Collective reserves the right to cancel delivery date due to reasons such as illness, travel, or weather. We'll make efforts to reschedule promptly; if a solution isn't reached, the deposit will be returned.
RIGHT OF WITHDRAWAL
If The Media Collective becomes aware of changes to agreed circumstances, we reserve the right to withdraw. Factors include non-cooperation, changes in location or facilities, incomplete information, missed appointments, and late payments. If withdrawal is initiated on these grounds, the deposit will be forfeited to cover costs for completed work.
PAYMENT
The customer agrees that a deposit is paid at the time of contract acceptance. The remaining balance is due in full by the date specified on the invoice, which will usually be no later than 30 days after the date of installation. Payment should be made to the account specified on the invoice. Should the customer require an adjustment to the stated payment terms, this should be discussed before the deposit invoice is issued.
If payment for completed works has not been received within a timely manner, The Media Collective may decide to hold or terminate any future projects. In this event, any deposits already paid towards future projects will be forfeited.
DESIGN
We use only rights-owned or royalty-free images in your designs. For any specific copyrighted artwork requests, like maps or paintings, we will consult with you before purchasing. This will appear on your final invoice. Requests beyond the agreed-upon scope may incur extra design fees at £75/hour. We will provide quotes and confirmations before starting any additional work.
QUALITY
The client must proofread, check designs, and promptly approve all artwork. While we aim for clear communication and defect-free products, errors not flagged during the review period are not our responsibility. Correcting such defects may result in additional costs.
The Media Collective reserves the right to reject material deemed offensive or unsuitable for production.
LATE CHANGES
Any request for changes to your designs AFTER we have received approval in the DESIGN PHASE may incur additional costs depending on the stage to which your project has progressed in our Production phase.
INSTALLATION
Clients must inform us of any changes to surveyed spaces before the installation date. The Media Collective is not liable for graphics that cannot be installed due to client alterations made after our survey.
We need unrestricted access to the areas undergoing upgrades for a full installation day, which entails the site being open for a minimum of eight hours. If access is denied, or restricted, necessitating a return visit to finish the job, we reserve the right to apply an additional installation charge.
RISK AND PROPERTY
Once installed the risk of damage to the products passes to the school. We will photograph all products upon completion for our records.
AFTERCARE
We love delivering products that you are happy with, however, if something is not quite right, our aftercare service ensures we rectify it as quickly as possible. We strive to correct any defect within a fair and reasonable timeframe. This is within 48 for urgent re-visits and within 28 days for any general aftercare.
All products and deliveries should be checked at the time of installation for damage or missing pieces. If a defect is noticed upon installation, notify us within 14 days and we will arrange an aftercare service. If the product we installed or delivered is not perfect for one of the following reasons we will rectify this at no additional cost, as part of our aftercare service. • Your product was of unsatisfactory quality
• Your product was not fit for purpose
WARRANTY PERIOD
The Media Collective holds no liability for any defect arising from wear and tear after 24 months from your installation date. Should you believe a defect has arisen within this timeframe please contact care@mediacollective.co.uk along with relevant photos for our assessment. Warranty periods are as follows:
Essentials Packages - 12 months
Recommended Packages - 24 months
Premium Packages - 24 months
This does not include:
• Damage from vandalism
• Theft
• Damage arising from extreme climate e.g excessive winds, heat etc.
• Damage from incorrect cleaning products
• Accidental damage
We will not accept any enquiries made outside of this period as under warranty and any repairs work carried out after this date may be chargeable. At no point will The Media Collective accept responsibility for any wilful damage or negligence surrounding our products. Telephone and email support is provided Monday – Friday 8:30 am to 4:30 pm. Contact outside of these hours cannot be guaranteed.
MARKETING
We reserve the right to use the photographs of your completed project, or the artwork as part of our own marketing. We will not photograph students without express permission, however, if the project includes images of your students we will assume permission has already been obtained by the customer for these images to be used for marketing purposes. This would include displaying on our website, on our internal sales platform and on social media channels.
COPYRIGHT
We retain full copyright on all designs. The contract grants a license for school use. We cannot be held responsible for any breach of copyright caused by the reproduction of materials supplied by you.
TERMS AND CONDITIONS
We reserve the right to modify these terms and conditions at any time. If a change occurs during your project timeframe, we will inform you. However, this will not affect our original agreement.
